Assistant Manager Administration

The responsibility is to ensure all administrative and operational activities are carried out in an efficiently and effectively manner. The incumbent should have thorough understanding of vendor quality management. Additionally, should be able to work independently with minimum supervision.

Key Responsibilities:

  • Maintain Office supplies inventory.
  • Maintain certified vendors by establishing and enforcing standards Maintain competitive product pricing by negotiating material and supply costs.
  • Maintenance of contracts/ renewals such as photocopiers, CCTV, Ups, cable service, Air-conditions (ACs), utilities i.e. water, electricity, etc.
  • Prepare supplier and other reimbursement memorandum for payments & ensure timely processing of bills/ invoices received from different vendors including petty cash expenses.
  • Maintain Utility bills and Rental payments /records (Develop and maintain a filing system) for all HBL Asset Management Branches & Centers by following timely payments.
  • Handling daily complains receiving from different departments and centers by assigning work to concern staff/suppliers, following up on results.
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Ensures that office security is up to the required standard.
  • Assist in all the construction or renovation work occurred.
  • Manage all support staff in order to ensure productivity, encouraging and healthy environment.
  • Coordinate with our regional offices related to admin activities.
  • Ensure timely processing of Overtime Payments of contractual employees as and when required.
  • Rider’s Management.
  • Any other assignment given by the line manager.

Required Education & Experience:

  • Minimum Bachelors from any HEC recognized university.
  • Minimum 3-5 years of relevant experience.
